Sample programmes in the UAE

Samples and pre-production proofs for UAE corporate merch

How strike-offs, digital mockups and physical sample handoffs work for corporate merch destined for Dubai, Abu Dhabi, the Northern Emirates, the free zones and the wider GCC. Pricing in AED, lead times in working days, no insider claims about any factory, brand or platform named below.

Sample programmes at a glance

A sample programme in the UAE has three moving parts: a digital mockup on the chosen blank, a physical strike-off on the actual material with the chosen decoration method, and a sign-off step that releases the bulk order onto the production line. Each part has a different lead time and a different cost position, and each one is priced separately on the quote so the buyer can choose where to spend on the sample programme and where to skip. The numbers below are working ranges for the Dubai and Abu Dhabi production hub; orders destined for the Northern Emirates or the wider GCC shift on the courier leg, not on the sample production.

Sample programmes are typically priced at 100–200% of the bulk unit price, with the cost credited against the final order when the bulk run is confirmed. For VIP programmes (executive welcome kits, hand-engraved awards, gift-boxed presentations) we offer a premium sample service in Dubai and Abu Dhabi where the sample is hand-assembled by the same technician who will assemble the bulk run, which removes the most common cause of sample-to-bulk drift. For trade-show and venue runs we offer a pre-show sample at our Al Quoz warehouse where the buyer can inspect the sample in person before the bulk run starts.

The sample-to-bulk workflow is built around a written sign-off. We do not move from sample to bulk on a verbal approval; a colour-tolerance reading on a Pantone Delta-E scale is documented in an email confirmation or a signed sample-approval form and a photograph of the approved sample on file. This protects both sides if a dispute arises at the bulk delivery point and is the standard policy across all UAE programmes, including the more complex free-zone and GCC deliveries.

What a sample programme in the UAE actually contains

Pre-production strike-off sample

A printed or decorated sample on the actual blank, on the actual material, with the agreed Pantone colours and position. Used to confirm colour, position, scale and feel before the bulk run is released. Lead time 5–8 working days in the UAE; rush 2 days at premium. Credited against the final order.

Digital mockup and Pantone proof

A flat artwork proof on the chosen blank, with Pantone callouts, a colour-separated view, and a written mockup note. Used to align on artwork before committing to a physical strike-off. Lead time 24–48 hours. Free on most categories; charged as a separate line on complex bespoke SKUs.

VIP physical sample in hand

A hand-assembled sample by the same technician who will assemble the bulk VIP run. Used to confirm finishing, packaging, ribbon, foil stamp, and gift-box presentation before the bulk run starts. Available in Dubai and Abu Dhabi; delivered to a Dubai office, DIFC, ADGM, Downtown Dubai, or shipped to Abu Dhabi overnight.

Replacement sample and re-sampling

A second or third sample produced after artwork adjustments, material changes, or decoration-method changes. Lead time matches the first sample; cost is the strike-off cost credited against the new final order. Re-sampling is included once per order; further re-samples are quoted separately.

Sample production and venue handover

Sample production in the UAE follows the same decoration line as the bulk order, which removes the most common cause of drift between sample and bulk: a different decoration line running a different press profile. The strike-off is produced on the same screen, the same embroidery head, the same UV printer, or the same laser as the bulk run will use. For embroidery and laser, the digitisation file or the laser program is created once at the sample stage and reused on the bulk line; this keeps the position and the stitch count stable from sample to bulk.

Sample handover is timed to the buyer's review window. For a Dubai-based buyer the sample is delivered to a Dubai office, DIFC, Business Bay, Al Quoz, Deira, or Bur Dubai the same day the sample is finished; for an Abu Dhabi buyer the sample ships overnight to Abu Dhabi city, Al Bateen, Al Maryah Island, Saadiyat, or Yas. For a free-zone buyer the sample is delivered inside the free zone against the authority's access protocol; for a GCC buyer the sample ships via the GCC-wide courier network with a commercial invoice and an Arabic translation for Saudi-bound consignments.

Sample approval is documented in writing before the bulk run is released. We do not move from sample to bulk on a verbal sign-off; a colour-tolerance reading on a Pantone Delta-E scale is documented in an email confirmation or a signed sample-approval form and a photograph of the approved sample on file. This protects both sides if a dispute arises at the bulk delivery point. The sample-approval form carries the Pantone reference for each colour, the position coordinates, the scale, and the agreed tolerance (typically Delta-E ≤ 2.5 for stocked lines and ≤ 1.5 for VIP lines).

For venue delivery (DWTC, ADNEC, Expo City Dubai, the Etihad Arena, the Coca-Cola Arena, the Dubai Exhibition Centre) we coordinate the sample handover with the buyer's stand builder. The sample is delivered to a staging warehouse near the venue the day before load-in, and the buyer's stand builder picks up the sample with the bulk freight. This avoids the on-stand inspection window eating into the load-in schedule.

Sample programme timeline

  1. Day 0: receive the brief, artwork, quantity, decoration method, and the blank SKU. Issue the digital mockup within 24–48 hours for vector-clean artwork, 48–72 hours when the artwork needs redrawing or colour-separating.
  2. Day 1–3: artwork and Pantone sign-off. The buyer approves the artwork in writing, with the Pantone reference for each colour and a written note on position and scale.
  3. Day 3–8: physical sample production, quality check, photograph, and sample handover to a Dubai office, Abu Dhabi hotel, or free-zone plot. The buyer inspects the sample and signs the sample-approval form in writing.
  4. Day 8 onward: bulk production line is released, with the sample as the reference for the line operators. The buyer can request a second sample at any point before bulk completion, with the cost credited against the final order.

Pantone tolerance, colour matching and sign-off rules

Pantone Delta-E is the colour-tolerance reference for the UAE sample programme, taken on the strike-off. For stocked lines the sample is held to Delta-E ≤ 2.5; for VIP and bespoke lines the sample is held to Delta-E ≤ 1.5. The Delta-E reading is taken with a calibrated spectrophotometer on the actual blank (not on a flat proof), and the reading is recorded on the sample-approval form with the serial number of the spectrophotometer and the date of the reading. A reading above the tolerance triggers a re-sample at no charge to the buyer.

Colour matching for fabric, ceramic, glass, and metal blanks is sensitive to the substrate. A Pantone callout on cotton behaves differently from the same Pantone on recycled PET, ceramic-coated stainless steel, or anodised aluminium. We hold substrate-specific Pantone libraries for the most common corporate blank types and we send the substrate reference on the sample-approval form so the buyer can match the callout against the intended production surface.

Sign-off is captured in writing. The buyer receives the strike-off with a sample-approval form carrying the Pantone reference, the position, the scale, the tolerance, and the production reference. The buyer signs the form in writing (or by email confirmation) before the bulk line is released. We do not proceed to bulk without a signed form on file; this is the standard policy across all UAE programmes and is one of the audit checks our production team runs before scheduling the bulk line.

Pricing in AED, VAT 5%, and free-zone handling

Sample pricing in the UAE is quoted in AED by default, with USD available on the same quote using the AED 3.6725 USD peg. The peg has been stable since 1997; the FX risk inside the sample production window is effectively zero. A standard strike-off sample on a stocked blank runs from AED 35 for a single-colour silkscreen to ~AED 220 for a multi-position UV direct print; a VIP sample with hand assembly and gift-box presentation runs from AED 250 to AED 900 per sample.

VAT 5% applies to all UAE-invoiced sample charges under the Federal Tax Authority framework. For samples shipped inside a Designated Free Zone (DAFZA, JAFZA, DMCC, ADGM, SAIF, HFZA, RAKFZ) the supply may be zero-rated if the sample is consumed inside the free zone; for samples shipped to the UAE mainland the VAT is added to the invoice. The invoice carries the FTA verification code through the EmaraTax portal, regardless of free-zone status.

For samples shipped to a GCC buyer (Saudi Arabia, Bahrain, Kuwait, Oman, Qatar) the sample is invoiced VAT-free under the GCC reverse-charge mechanism; the buyer self-accounts for VAT in their home jurisdiction. For non-resident buyers outside the GCC the sample is zero-VAT with an export declaration filed through the Federal Authority for Identity, Citizenship, Customs and Port Security. A Certificate of Origin from the Dubai Chamber or the Abu Dhabi Chamber is available on request.

Payment for samples is 100% on order confirmation. Credit terms (net 30 or net 45) are not typically offered on sample-only orders; the credit framework is built around the bulk production order, with the sample cost credited against the bulk deposit. Payment methods accepted for samples are bank transfer in AED to our Emirates NBD or Mashreq account, USD bank transfer, or corporate credit card on Stripe for orders below AED 7,500.

Sample storage, return and reuse

Approved samples are stored for the duration of the bulk production and for 30 days after delivery, in a labelled bag inside a climate-controlled cabinet at our Al Quoz warehouse. The buyer can request the sample back at any point in that window, either for an in-house archive or for a follow-on programme that uses the same artwork. After the 30-day window the sample is recycled under the buyer's instruction.

Rejected samples are kept on file for 90 days, then recycled or destroyed per the buyer's instruction. We do not dispose of branded merchandise without written authorisation from the buyer; this is the standard policy across all sample programmes and reflects the UAE Personal Data Protection Law (PDPL) treatment of any recipient data attached to the sample (a name, a phone number on a courier waybill, a photograph with a face).

For trade-show and venue sample programmes we offer a pre-show sample handoff at our Al Quoz warehouse, where the buyer inspects the sample in person and signs the sample-approval form on the spot. This is the most common workflow for DWTC, ADNEC, Expo City Dubai, the Etihad Arena, and the Coca-Cola Arena, where the buyer's stand builder is also reviewing the sample before the venue load-in.

Sample reuse is common on repeat programmes. If the buyer returns within 6 months with the same artwork and the same blank SKU, the existing sample is reused as the bulk reference; the buyer does not need to re-sample. After 6 months we re-sample by default because the decoration line may have shifted press profiles in the interim, and a stale sample is a liability rather than an asset.

Frequently asked questions

How much does a strike-off sample cost in the UAE?

A standard strike-off on a stocked SKU runs from AED 35 (single-colour silkscreen on a tote bag) to ~AED 220 (multi-position UV direct print on a metal pen or a ceramic mug). VIP samples with hand assembly and gift-box presentation run from AED 250 to AED 900 per sample. All sample costs are credited against the final order when the bulk run is confirmed. VAT 5% applies to UAE-mainland invoicing; free-zone and GCC reverse-charge cases are handled separately.

How long does a physical sample take in Dubai and Abu Dhabi?

A standard physical sample takes 5–8 working days from artwork approval to delivery in a Dubai office or an Abu Dhabi hotel. A rush sample at 2 working days is available for an additional fee and is reserved for situations where the bulk production line is already booked and the sample is the only thing holding up the release. Samples are produced on the same decoration line as the bulk run will use; this is the standard policy because the most common cause of sample-to-bulk drift is a different line running a different press profile.

Can the sample be delivered inside a free zone or to the wider GCC?

Yes. Free-zone delivery to DAFZA, JAFZA, DMCC, ADGM, SAIF, HFZA, or RAKFZ follows the authority's access protocol; the courier vehicle and driver are documented, and the recipient is named on the delivery note. GCC delivery to Saudi Arabia, Bahrain, Kuwait, Oman, or Qatar runs on the courier network with a commercial invoice and, for Saudi-bound consignments, an Arabic translation and the SABER conformity documentation. Sample-to-bulk approval is captured in writing before the bulk line is released.
