Storage in the UAE

Storage and warehouse handling for UAE corporate merch

How pre-event staging, climate-controlled warehousing, free-zone storage, multi-emirate distribution and reverse logistics work for corporate merch held in Dubai, Abu Dhabi and the Northern Emirates. Pricing in AED, lead times in working days, no insider claims about any courier, free-zone authority or logistics platform named below.

Storage programmes at a glance

Storage in the UAE for corporate merch breaks out into four common profiles: pre-event staging for a trade show or a venue run, mid-term warehousing for a multi-emirate distribution, climate-controlled storage for temperature-sensitive materials, and reverse logistics at the end of a programme when unused stock needs to be recovered, recycled, or returned to the buyer. Each profile has a different warehouse footprint, a different cost position, and a different lead-time window.

Pre-event staging is the most common profile. The merch is held at our Al Quoz warehouse for 5 to 14 days before the venue load-in, sorted into pre-built show-off areas by audience tier, and delivered to the venue on a narrow time window matched to the venue's marshalling-yard slot. Pre-show staging is included for orders above AED 5,000; below that, the staging line is itemised separately on the quote. For DWTC, ADNEC, Expo City Dubai, the Etihad Arena, and the Coca-Cola Arena, pre-event staging at our Al Quoz warehouse is the most common workflow because it removes the on-stand inspection window from the buyer's most critical buy-week.

Mid-term warehousing is the second most common profile. The merch is held at our Al Quoz warehouse or at a Designated Free Zone (DAFZA, JAFZA, DMCC, ADGM, SAIF, HFZA, RAKFZ) for 1–6 months while the buyer rolls the gift, hears the gift, or hears the gift across multiple recipients, events, or handover dates. Climate-controlled storage is reserved for temperature-sensitive materials (chocolate, glass, certain cosmetics, certain electronics). Reverse logistics is reserved for programmes where the buyer wants the unused stock recovered, recycled, or returned to the original warehouse at the end of the run.

What a storage programme in the UAE typically covers

Pre-event staging in Dubai and Abu Dhabi

A short-term holding footprint at our Al Quoz warehouse or at a designated venue warehouse, with the merchant staged from the production line to the venue. Sorted into pre-built show-off areas by audience tier and delivered to the venue on a narrow time window matched to the load-in slot. Included for orders above AED 5,000; itemised below that.

Climate-controlled warehouse storage

A temperature-controlled and humidity-controlled footprint at our Al Quoz warehouse, used for temperature-sensitive materials (chocolate, certain cosmetics, certain electronics, glass). Held at 18–22°C and 45–55% relative humidity. Inventory tracked per SKU with a monthly cycle count and a written inventory report.

Multi-emirate fulfilment and distribution

A multi-location distribution footprint from our Al Quoz hub to Dubai, Abu Dhabi, Sharjah, Ajman, Umm Al Quwain, Ras Al Khaimah, and Fujairah, with flat per-address surcharges and named-recipient labelling. Same-day in Dubai, overnight to Abu Dhabi, 1–2 days to the Northern Emirates.

Reverse logistics, returns and recycling

A recovery footprint at the end of a programme: unused stock is collected from the venue or the buyer's site, returned to our Al Quoz warehouse, and either restocked, recycled, or destroyed per the buyer's instruction. We do not dispose of branded merchandise without written authorisation.

Warehouse footprint, climate control and access

The Al Quoz warehouse is the primary storage footprint for UAE programmes. The footprint covers ~2,400 m² with racked pallet positions, ground floor, mezzanine storage, and a dedicated VIP gift-box staging area. The footprint is climate-controlled at 18–22°C and 45–55% relative humidity year-round, with a backup generator for the cold-chain areas. Inventory is tracked per SKU with a monthly cycle count; the buyer receives a written inventory report on request, with a per-SKU photograph, a count, and a per-batch holding date.

Access to the warehouse is restricted to named personnel with Emirates ID verification. Visitor access is logged at the gate, with photo ID held against the visitor log and a visitor badge issued for the duration of the visit. The warehouse is not a public-access facility; the buyer's representative is welcome to inspect the merch during working hours with 24 hours' notice, but walk-in inspections without an appointment are not accommodated.

For free-zone storage we use a Designated Free Zone footprint inside DAFZA, JAFZA, DMCC, ADGM, SAIF, HFZA, or RAKFZ. The free-zone footprint is the right choice when the merch needs to stay inside the free zone for VAT or customs reasons, or when the buyer's own operations are based inside the free zone. The free-zone footprint carries a per-pallet-per-month charge plus the free-zone authority's access fee; we confirm the per-pallet rate on the quote against the free-zone authority's current tariff.

Storage programme timeline

  1. Week 0: receive the brief, the buyer's expected volume, the holding window, and the dispatch schedule. Issue a per-strip line on the quote covering the staging footprint, the holding fee, the dispatch lines, and the reverse-logistics line if the buyer wants the unused stock recovered.
  2. Week 0–1: receive the merch from the production line into the staging footprint. Cycle count on intake, photograph, and a written inventory report sent to the buyer within 24 hours.
  3. Week 1 to holding end: hold the merch under climate control, with a monthly cycle count and a written inventory report. Dispatch lines run on the buyer's named dispatch dates, with the dispatch manifest attached to each shipment.
  4. Holding end: dispatch the final batch, recover the unused stock per the buyer's preference (restock, recycle, destroy), and close the storage programme with a final inventory report and a written close-out confirmation.

Pricing in AED, VAT 5% and free-zone storage charges

Storage pricing in the UAE is quoted in AED per pallet per week (or per carton per week for smaller footprints) plus a per-dispatch line. A standard Al Quoz footprint starts at AED 18 per pallet per week for ambient storage and AED 35 per pallet per week for climate-controlled storage. A free-zone footprint starts at AED 28 per pallet per week plus the free-zone authority's access fee (typically AED 12 per pallet per week at DAFZA and AED 9 per pallet per week at JAFZA, with a similar range across DMCC, ADGM, SAIF, HFZA, and RAKFZ). Per-dispatch lines start at AED 35 per consignment for a Dubai address and rise with the destination emirate.

VAT 5% applies to all UAE-invoiced storage charges under the Federal Tax Authority framework. For storage held inside a Designated Free Zone, the supply may be zero-rated if the storage service is consumed inside the free zone; for storage held on the UAE mainland the VAT is added to the invoice. The invoice carries the FTA verification code through the EmaraTax portal, regardless of free-zone status. GCC and non-resident buyers are invoiced VAT-free under the GCC reverse-charge mechanism or under the export declaration framework respectively.

The AED 3.6725 USD peg has been stable since 1997; the FX risk inside the storage window is effectively zero. Payment terms for storage are 50% on storage confirmation and 50% on storage close for new buyers; established recurring buyers on net 30 credit terms can roll the storage fee into the recurring billing cycle. We do not extend credit terms to first-time buyers because the cost of a default on a held footprint is too high for both sides.

Inventory, cycle counting and reporting

Inventory is tracked per SKU with a monthly cycle count. The cycle count is taken on a randomised sample of the footprint and reconciled against the warehouse management system; any discrepancy above 0.5% triggers a full recount and a written variance report to the buyer. The buyer receives a written inventory report on a monthly cadence (or on a per-dispatch cadence for VR integration with the buyer's own WMS), with a per-SKU photograph, a count, a per-batch holding date, and a per-batch expiry date where the material carries one.

Per-batch expiry is critical for certain materials (chocolate, certain cosmetics, certain food-and-beverage SKUs). We hold a per-batch expiry report and dispatch on a FIFO (first-in-first-out) basis; expired stock is segregated from the production batch and either returned to the buyer, recycled, or destroyed per the buyer's instruction. The destruction certificate is filed in the buyer's archive for compliance purposes.

For VR-integrated buyers we offer a per-dispatch inventory feed that mirrors the WMS status in real time. The feed runs over a secure API; the buyer can pull the inventory state into their own WMS without manual reconciliation. This is the standard workflow for the larger UAE programmes (financial free-zone buyers, hospitality groups, energy majors, large retail chains), where the buyer's own WMS is the source of truth and the warehouse management system at our Al Quoz warehouse feeds the buyer's WMS rather than the other way around.

Insurance, loss prevention and PDPL handling

All stored merch is covered by a warehouse insurance policy underwritten by a UAE-licensed insurer; the policy covers named perils (fire, flood, theft, accidental damage) up to AED 5 million per location per event, with a per-SKU limit of AED 25,000. High-value VIP runs (hand-engraved awards, gold-foil gift boxes, electronics) require a per-SKU declaration on intake; we confirm the declared value and the corresponding insurance band before the merch is racked.

Loss prevention is built around restricted access, CCTV with 90-day retention, and a per-dispatch manifest that maps every outbound consignment to a courier waybill. The CCTV footage is held against the date of the dispatch; any claim for missing or damaged merch is reconciled against the CCTV footage and the courier waybill. We do not accept claims for missing merch filed more than 7 days after the dispatch date.

PDPL handling is the third pillar of the storage programme. The UAE Personal Data Protection Law (PDPL) applies to any recipient data attached to the merch: a name on a gift box, a phone number on a courier waybill, an email address on a dispatch manifest. We process the recipient data under the buyer's instructions, hold it for the duration of the storage window, and delete it on storage close. The PDPL data-processing addendum is available on request and is included in every storage programme that involves recipient data.

Frequently asked questions

How much does storage cost in the UAE?

Storage at our Al Quoz warehouse starts at AED 18 per pallet per week for ambient storage and AED 35 per pallet per week for climate-controlled storage. Free-zone storage inside DAFZA, JAFZA, DMCC, ADGM, SAIF, HFZA, or RAKFZ starts at AED 28 per pallet per week plus the free-zone authority's access fee. Per-dispatch lines start at AED 35 per consignment for a Dubai address and rise with the destination emirate. VAT 5% applies to UAE-mainland invoicing; free-zone storage consumed inside the free zone may be zero-rated.

Can the merch be staged at the venue the night before the show?

For DWTC, ADNEC, Expo City Dubai, the Etihad Arena, the Coca-Cola Arena, and the Dubai Exhibition Centre we coordinate the merch delivery to the buyer's stand builder's load-in slot. The merch is delivered to a staging warehouse near the venue the day before load-in, and the buyer's stand builder picks up the merch with the bulk freight. This is the standard workflow and avoids the on-stand inspection window eating into the load-in schedule. The staging warehouse is booked in advance against the buyer's confirmed slot.

How is unused stock recovered at the end of a programme?

Unused stock is collected from the venue or the buyer's site, returned to our Al Quoz warehouse, and either restocked, recycled, or destroyed per the buyer's instruction. We do not dispose of branded merchandise without written authorisation from the buyer; this is the standard policy across all storage programmes. A destruction certificate is filed in the buyer's archive for compliance purposes. Reverse logistics is included for orders above AED 7,500 net; below that on a per-pickup quote.
