FAQ: Ordering process — UAE
The questions UAE procurement teams ask about the ordering process — brief, quote, artwork sign-off, sample, PO, production, QC, delivery, and VAT invoice — answered with the realities of UAE procurement cycles, DIFC and ADGM approval chains, and the trade-show windows that compress the calendar.
Quick summary
The ordering process in the UAE runs through seven stages: brief, quote, artwork sign-off, pre-production sample, purchase order (PO), production, delivery and invoice. The brief comes in through the form, email, WhatsApp, or in-person at our Dubai or Abu Dhabi offices; we reply within one UAE business day (GST+4 working hours) with a scoped quote in AED. Artwork sign-off happens in writing on the strike-off artwork, with the buyer confirming the colour targets, the placement, and the decoration method. Pre-production samples ship within 5–7 business days on stocked SKUs and within 14–25 business days on custom-mill programmes; the sample cost is credited to the final order on confirmation. PO and deposit unlock production; production runs 5–10 business days on stocked SKUs and 25–45 business days on custom-mill programmes; AQL 2.5 QC runs in parallel. Delivery runs same-day in Dubai, overnight to Abu Dhabi, and 1–3 working days to the rest of the UAE; the tax invoice breaks out blanks, decoration, packaging, delivery, and VAT at 5%.
The procurement-side approval cycle varies by buyer. Most UAE corporate buyers run a 2–3 step approval cycle: brand or marketing confirms the creative; procurement confirms the budget; finance approves the PO. Buyers at DIFC and ADGM-regulated entities frequently add a compliance step covering ESG, sanctions, and beneficial-ownership disclosure. Government and semi-government buyers run a longer approval cycle that includes the procurement department, the end-user entity, and often the internal audit team; we support the cycle with the trade licence, the Chamber of Commerce attestation, and the technical specification sheet on request. The calendar pressure comes from the trade-show windows (GITEX in October, Arab Health in January–February, ADIPEC in November, Dubai Airshow biennially in November) and the corporate-gifting cycles (Ramadan, Eid Al Fitr, Eid Al Adha, UAE National Day on 2 December), and we recommend buyers brief at least 6–8 weeks before the slot opens.
Most frequent questions
The questions below cover the bulk of what UAE procurement teams ask about the ordering process — brief content, quote timing, artwork sign-off, sampling, PO terms, production timeline, QC, delivery, and VAT invoicing. If the answer to your project is not here, send a message; we reply within one UAE business day (GST+4 working hours) with a process map tailored to your run dates.
Cost and timing details
Process cost is the cost of the order rather than the cost of running the order — we do not charge for quotes, project management, artwork set-up on stocked SKUs, or routine QC. The lines the buyer sees on the invoice are blanks, decoration setup, decoration per-unit run, packaging, delivery, and VAT at 5% in line with the Federal Tax Authority framework. The setup line covers digitising on embroidery, screens on silkscreen, films on DTF, and dies on hot-press deboss; the per-unit decoration line covers the actual production run; the packaging line covers standard poly-bag and master-carton packing plus any bespoke packaging or kit assembly; the delivery line covers the linehaul to the buyer's destination.
Process timing depends on the SKU choice and the decoration method. Stocked UAE-warehouse SKUs run quote within 1 working day, sample within 5–7 working days, and production within 5–10 working days from artwork sign-off and PO. Regional-mill specials (Türkiye, Egypt, India, Portugal) run quote within 1–2 working days, sample within 10–14 working days, and production within 14–25 working days. Custom-mill programmes run quote within 2–5 working days, sample within 14–25 working days, and production within 25–45 working days at the material stage plus decoration. Urgent work on stocked SKUs runs on a fast track at a modest premium; we book the fast-track capacity on the day the brief comes in.
Volume pricing holds at the standard tier for orders above 500 units on most SKUs, with a deeper tier above 1,000 units on apparel that frequently unlocks a custom-mill price match against the regional mills. The per-tier discount is itemised separately on the quote so the buyer can see the volume-driven savings. Payment terms are typically 50% on order confirmation and 50% on delivery for orders below AED 50,000; for larger custom-mill programmes the deposit increases to 30–50% on order confirmation plus a milestone payment at material readiness.
Quality and samples
Quality is verified at three points in the process. At artwork sign-off, the strike-off artwork is reviewed against the brief and the colour targets, with the buyer confirming the artwork in writing before production starts. At pre-production sample, a finished piece is shipped to the buyer for sign-off; the sample is the buyer's last chance to flag a colour shift, a placement issue, a sizing issue, or a finish issue before the production run begins. At finished-goods QC, the buyer receives a photo set on completion covering stitch density, print registration, edge finishing, and overall appearance against the approved sample.
Samples on stocked SKUs run from free-of-charge colour swatches through paid pre-production samples at 100–200% of unit price, credited to the final order on confirmation. The sample cost covers the labour, the setup, and the materials for one piece; it is not credited on a no-go decision. Custom-mill samples — including custom dye batches, custom paper stock, and bespoke metal finishes — are quoted separately and typically run 7–14 business days at the mill, plus 5–7 business days for shipping and decoration in the UAE. Production QC follows AQL 2.5 sampling on stocked lines and 100% inspection on tier-1 VIP kits, embroidered leather goods, and bespoke ceramic programmes.
The buyer should request the QC photo set on the order confirmation; the photo set is included as standard on orders above AED 5,000 and is available as an add-on on smaller orders. Material certifications (OEKO-TEX Standard 100, GRS, GOTS, BCI, FSC) are supplied with the goods on request when specified at the brief stage.
Delivery and returns
Delivery sits at the end of the process and is shaped by the destination and the venue load-in window. Stocked UAE-warehouse SKUs run express collection from our Al Quoz warehouse for orders placed before 11:00 GST; overnight delivery to Abu Dhabi; 1 working day to Sharjah and Ajman; 1–2 working days to Umm Al Quwain, Ras Al Khaimah, and Fujairah; 2–3 working days to Al Ain and the Western Region. For trade-show and event runs we stage stock near the venue and deliver on a narrow time window timed to setup — missed load-ins are the single most common failure mode, so we book the venue's marshalling-yard slot in advance and coordinate with the buyer's stand builder.
Returns on decorated merchandise are limited to verified defect or shipment-damage cases. The buyer reports within 48 hours of receipt; we photograph and document; we replace or refund per the buyer's preference. Undecorated blanks from a cancelled programme can be returned within 14 days of receipt for refund less handling, on a case-by-case basis. Unused stock from a show is collected at the venue's appointed slot and either restocked or recycled per the buyer's instruction; we do not dispose of branded merchandise without written authorisation.
Payment and paperwork
Payment runs on the standard UAE cycle. The buyer confirms the quote and the artwork in writing; we issue the pro-forma invoice; the buyer raises the PO and processes the deposit (typically 50% on orders below AED 50,000, 30–50% on larger custom-mill programmes); the production line starts on receipt of the deposit and the signed artwork approval; the balance is invoiced on delivery or shipment. We accept AED-denominated bank transfer (the default), USD-denominated bank transfer at the agreed reference rate, and corporate-card payment for orders up to AED 50,000. Credit terms are available for established clients with a documented purchase history.
The tax invoice breaks out blanks, decoration setup, decoration per-unit run, packaging, delivery, and VAT at 5% in line with the Federal Tax Authority framework. Designated-zone shipments into free zones (JAFZA, DAFZA, SAIF Zone in Sharjah, HFZA in Ras Al Khaimah, FTZ in Fujairah, twofour54) can fall outside the scope of VAT — confirm the buyer's free-zone status before invoicing. The buyer receives the trade licence and the Chamber of Commerce attestation on request, and PDPL data-processing addenda are available for orders that involve recipient personal data. Cross-border shipments to Saudi Arabia, Bahrain, Kuwait, Oman, Qatar, Egypt, and Jordan follow the GCC customs documentation framework; we handle the documentation and invoice the linehaul and customs fees separately.
Ordering process in the UAE context
The UAE procurement cycle is shorter than the European baseline on the response side (we reply to a brief within one UAE business day) and more compressed on the production side because the calendar pressure comes from a smaller number of high-volume trade-show windows. GITEX runs in October at DWTC; Arab Health runs in late January to early February at DWTC; ADIPEC runs in early November at ADNEC; Dubai Airshow runs biennially in mid-November at Dubai World Central; the Abu Dhabi F1 weekend runs in early December; Ramadan, Eid Al Fitr, Eid Al Adha, and UAE National Day (2 December) structure the corporate-gifting calendar. Buyers who brief 6–8 weeks before the slot opens lock material at the mill price; buyers who brief late pay the spot price and run a higher risk of partial fulfilment.
The DIFC and ADGM approval cycle adds a compliance step covering ESG, sanctions, and beneficial-ownership disclosure. We support the compliance step with the trade licence, the Chamber of Commerce attestation, the material certifications, and the technical specification sheet; the buyer's compliance team typically signs off the documentation within 2–3 working days. Government and semi-government buyers run a longer approval cycle that includes the procurement department, the end-user entity, and the internal audit team; we respond to the additional review steps within one UAE business day. The PDPL data-processing regime (UAE Personal Data Protection Law) governs how we handle recipient personal data on engraved gifting, named certificates, and the shipping lists for VIP kits; we provide the PDPL addendum on request.
Communication channels in the UAE are broader than the European baseline. Buyers frequently use WhatsApp for the fast-track back-and-forth on artwork approvals, sample status, and delivery timing; we use formal email for the contractual side (the quote, the artwork sign-off, the pro-forma invoice, the PO, the final invoice). In-person meetings at our Dubai and Abu Dhabi offices or at the buyer's site are common on first engagements; the meeting is typically the brief and the sample review on the same visit. Ramadan working hours run 9:00–15:00 in most UAE organisations, and we adjust the order confirmation and production cycle accordingly; the brief and the artwork approval can run during Ramadan but the production cycle is best started before or after the Eid break.
The free-zone and mainland VAT matrix is itemised on the quote. JAFZA, DAFZA, SAIF Zone in Sharjah, HFZA in Ras Al Khaimah, FTZ in Fujairah, twofour54 in Abu Dhabi, Dubai Internet City, Dubai Media City, Dubai Knowledge Park, and the Abu Dhabi Global Market are designated zones for VAT purposes; shipments into these zones can fall outside the scope of VAT under the Federal Tax Authority framework. Mainland DAFZ-free-zone channels apply the standard 5% VAT. The buyer's free-zone status is verified at the brief stage so the invoice is set up correctly from the start.
Frequently asked questions
What is the ordering process from brief to delivery in the UAE?
Seven stages: brief, quote, artwork sign-off, pre-production sample, purchase order, production, delivery and invoice. The brief comes in through the form, email, WhatsApp, or in-person at our Dubai or Abu Dhabi offices; we reply within one UAE business day with a scoped quote in AED. Artwork sign-off happens in writing on the strike-off artwork. Pre-production samples ship within 5–7 working days on stocked SKUs. PO and deposit unlock production. Production runs 5–10 working days on stocked SKUs and 25–45 working days on custom-mill programmes. AQL 2.5 QC runs in parallel. Delivery runs same-day in Dubai, overnight to Abu Dhabi, 1–3 working days to the rest of the UAE. The tax invoice breaks out blanks, decoration, packaging, delivery, and VAT at 5%.
How long does the full process take — from enquiry to goods received?
On stocked UAE-warehouse SKUs the full process typically runs 10–14 working days: 1 day for the quote, 1–2 days for artwork sign-off, 5–7 days for the pre-production sample, 5–10 days for production, and 1–3 days for delivery. On regional-mill specials the full process runs 25–35 working days. On custom-mill programmes the full process runs 45–70 working days at the material stage plus decoration. Urgent work on stocked SKUs runs on a fast track that compresses the production stage to 24–72 hours at a modest premium. Buyers who brief 6–8 weeks before the slot opens on a trade-show or corporate-gifting window lock material at the mill price and avoid the spot price.
What do I include in a UAE corporate merch brief?
Six elements. The SKU and the run size per SKU (cotton oxford polo, 50 units; ceramic mug, 20 units). The decoration method (embroidery, DTF, silkscreen, laser, UV-DTF, hot-press deboss) and the artwork file with the colour targets in Pantone, CMYK, or thread reference. The destination and the delivery date (with the venue setup and load-in window if relevant). The billing address and the buyer's trade-licence or free-zone status. The procurement contact, the brand contact, and the finance contact. Any certification requirement (OEKO-TEX, GRS, GOTS, FSC, BCI) and any compliance requirement (ESG disclosure, sanctions screening, PDPL data-processing addendum). Buyers who include all six elements get a scoped quote within one UAE business day; buyers who omit elements get a clarifying-question reply and the clock pauses until the elements are supplied.
How does approval and artwork sign-off work?
The approval cycle runs in writing. We set up the artwork against the brief and the colour targets; we share a digital proof or a strike-off proof with the buyer; the buyer reviews the artwork, the placement, the colour, and the size against the actual blank; the buyer confirms in writing (email is the standard format) that the artwork is approved for production. Production does not start until the written confirmation is on file. Buyers who request multiple rounds of revision should expect a 1–2 working day delay per round; revisions are itemised on the quote as artwork-setup time rather than artwork-setup fee because the labour is covered by the order. Buyers who brief the artwork in advance with the Pantone, CMYK, or thread reference reduce the revision round count.
What payment terms do you accept (PO, deposit, LC)?
We accept AED-denominated bank transfer (the default), USD-denominated bank transfer at the agreed reference rate, and corporate-card payment for orders up to AED 50,000. Standard payment terms are 50% on order confirmation and 50% on delivery for orders below AED 50,000; for larger custom-mill programmes the deposit increases to 30–50% on order confirmation plus a milestone payment at material readiness, with the balance on delivery. Credit terms are available for established clients with a documented purchase history. Letter of Credit (LC) is accepted on orders above AED 250,000 with an LC at-sight from a UAE-licensed bank; the LC terms are negotiated on a per-order basis. Purchase Order (PO) on net-30 terms is available for selected government and semi-government buyers with the trade-licence and the Chamber of Commerce attestation on file.
Can procurement teams track the order?
Yes. We issue an order confirmation at PO with the production window, the delivery window, and the QC photo set delivery. We send a production update at the artwork sign-off and the sample sign-off. We send a dispatch notice on shipment with the courier or linehaul tracking reference. For buyers on a fast-track programme we send a daily update; for buyers on a standard programme we send an update at every stage. The buyer can reach the procurement contact on email or WhatsApp at any point in the cycle; an unanswered message is escalated within one UAE business day.
